Worship Tools Set-up

How to work with worshiptools.

Purpose of worshiptools

Worshiptools serves two primary purposes. Presenting during the service, and Planning the flow of service.

Planning should not be taken as concreate, but rather as an elastic guide that may change during the service. Planning exists to keep everyone on the same page even as changes to the service come up so that they can be communicated.

Pre-Planning should be used to set things on track, but we must always be open to the prompting of the Holy Spirit and be flexable with changes. These tools serve as a guide to help us know what is going on so that a service does not devolve into chaos because the pepole working the service aren’t completely in the dark during a service.

Account Creation

You will recieve an email from Someone [Mountain View Baptist Church] ([email protected]).

Click “Set Password” in the email. You will be taken to a site to set-up your password that will be attached to the email address where you recieved the email.

Password creation notes: The password requires a Number and Special character, but also allows spaces in the password. You can create a sentence and end it with a number and a period to remember the password easily.

Once your account is created you will be able to access service information in the Planning software and set dates on your profile when you will be unavailable.

Software usage

There are multiple pieces of software available in worshiptools. The two primary pieces of software are “Planning” and “Presenter”, Presenter must be installed on a computer but Planning can run from a phone or a web-browser.

Presenter

Presenter is used for the Projection during services and will have a separate page dedicated to using it.

Planning

Planning is the place where the order of service is created and slides for songs are automatically added to Presenter if the song has slides available with our CCLI license. The rest of the slides for use in the service, such as announcements, are updated after the creation of the service and are typically updated sometime Saturday before Sunday’s Services.

Services are created weekly and typically copied from a previous service. This will initially includes songs, and people that are “working” the service. The song list is either updated or cleared out once the new service has been created and people are assigned Roles based on availability.

Each time a new service is created people will be assigned “Roles” for their part in the service. Once roles are added requsts will be sent out to everyone who is added to a Role to accept their role for that service.

Creating a service

To create a new service from Planning you can either click “Create Service” or you can “clone” an existing service. To avoid the tedious process of creating services from Scratch it is simplest to “clone” an existing weekly service and update the information for the new service. For Special Events it is typically simplest to create a new service from scratch.

There are 3 types of services currently in Planning. Special Event Service, Sunday Morning Service, and Sunday Evening Service. We may add more over time but for now that covers out entire use case.



Using Planning

Planning is primarily used before a service to create a flow of the service so people running the service will know what is going on, however it also allows messages to be sent to people from within the app or in the browser. Messages can be sent to the “Groups” or teams of people, to people in specific roles, or to individuals. By keeping the Messages up team members can communicate changes and updates during the service as needed.

Music Stand

The third piece of software available from worshiptools is Music Stand, now that the promotional period has expired to the CCLI chord database Music Stand only offers the same lyrics sheet that is provided to Presenter.
